Why one system beats five spreadsheets

A shop with one outlet can run on a notebook. A shop with three outlets, two warehouses and a delivery team runs on six spreadsheets, a WhatsApp group and somebody's memory — and that is where the money starts leaking.

The hidden cost of the seam

Every tool you add creates a seam: a place where the same fact has to be typed twice. The invoice exists in the billing file, the stock movement in the inventory file, the payment in the bank sheet, the customer in someone's phone. Each seam is cheap on its own. Together they cost you the two things you most need to make decisions — time and trust in the number.

Ask a business running five tools what its profit was last month and you will usually get a date, not a figure: "give me till Thursday." The delay is not accounting. It is reconciliation.

What "one place" actually means

Unified does not mean one giant screen. In Lumen, it means one set of records that every module reads from and writes to:

• A sale writes itself down three times. Raise an invoice and the stock leaves inventory, the receivable lands on the customer's ledger and the revenue hits the books — in the same moment, not at month end.
• A purchase closes the loop. A purchase order becomes a goods receipt becomes a bill becomes a payment, each step carrying the last one's numbers forward.
• People and projects are on the same books. Payroll, advances and project costs sit in the same ledger as everything else, so a project's margin is a fact, not an estimate.

Three things to check before you migrate anything

1. Opening balances. Decide a cut-off date and bring in customer, vendor and stock balances as of that date. Everything before it stays in the old files, for reference only.
2. Who can see profit. Access in Lumen is granted per module and per sub-module, down to view, create, edit and delete — and owners can hide profit figures from members entirely. Decide this before you invite anyone.
3. One space, or several. Each space is a self-contained set of books with its own currency and display settings. Two businesses, two spaces. Two outlets of one business, usually one space.

The test that matters

A month after you switch, ask the same question: what was our profit last month, and which outlet earned it? If the answer takes longer than it takes to open a laptop, the seams are still there.
